The purpose of this privacy policy is to describe clearly what information we gather about you while you access this site and use Podium, how we use and process that data, who we disclose this information to, and how you can find out what data we hold about you together with how you can request changes or removal of that data.
We collect only the necessary information about you for the purposes of psychometric, skills, 360 or other online assessments and the subsequent reporting of these assessments to our clients. Our clients may provide your personal information to us in order for us to setup your personalised invitations. This information can include your name and email address, as well as other additional biographical information about you such as your sex, age, level of education, ethnicity, first language, and job area or current employment area.
You may also be asked to volunteer this information to us via a form before you start your assigned assessments or other online exercises.
While you complete your assessments or other online exercises we will also be collecting specific assessment data in the form of your responses to specific questions.
When providing any personal information we will specifically ask your consent to collect and process this information. You will have the choice whether to provide this information or not, and where a response is required with will always include a "Rather Not Say" option.
Some of this biographical data may be considered to be sensitive personal data as defined by the UK Data Protection Act 1998. This information does not form part of the assessment, we do not report on this information in results/reports given to our clients, and this information is not used to judge your performance in the assessments or other exercises. You will not be prevented from completing your assigned assessments or exercises if you choose not to provide this information.
Generally all biographical data is optional, unless a client specifically chooses to collect one or more of these fields. In which case we always include a "Rather Not Say" option.
We ask you to volunteer information about your sex, as this allows us to personalise the reports produced for our clients or yourself once the assessments are complete.
The collection of this biographical data, once aggregated and anonymized, allows us to complete research on our assessments and questionnaires to ensure their fairness and to ensure they do not discriminate.
Any sensitive personal data shall be treated and stored securely at all times.
We store and process your data in order to provide a service to our clients. Your data or responses therefore could be used to help identify you and your responses for our client who has supplied your information to us. It may be used to produce reports for this client detailing areas of your personality, your ability or your performance at specific skills. Additionally we may use this data to produce feedback reports for you which will summaries the information we have provided to our client.
Our clients may use these reports for the purposes of selection or development of individuals or teams/departments within their or for other organisations.
We may also provide a copy of the assessment data to our clients for use by them for their own use and management purposes.
Our clients are entitled to the use of the information you provide at their request for their own purposes. They are however obliged to process your information in accordance with their own obligations to data security policy, the Data Protection Act or other data protections laws where applicable.
We do not send marketing communications to participants, and we will not directly contact you unless you have requested us to do so, or a client has requested that we contact you.
We will disclose your personal information to our client who initially provided your identifying data, such as your name and email address. This identifying data will be supplied to our client via the secure Podium management portal, a notification email to inform our client that a result has been completed and via the reports generated by the client detailing your scores on the assessments. Your data is restricted to this client and is not shared with others.
Where third party systems/applications or assessments are in use we may also pass your identification and assessment responses in order to produce reports for our clients or to store this information in their systems. In these cases, our clients are obliged to process and store your information in accordance with their own data security policy, the Data Protection Act or other laws where applicable.
From time to time we may appoint third parties to review or analyse assessment data. In these cases any data that could be used to identify you will be anonymized before being passed to the third party.
We may disclose your personal data to third parties:
We receive your identification data (name, email address and perhaps some biographical data) from our clients. These clients may be your employer or potential employer.
In the case of a third party recruiter or system/application we will receive identification from them in order to create the requested invitation to your assigned assessments.
We do not actively source other personal information from third parties other than the information we ask you to volunteer.
As part of the assessment process we may ask you to volunteer identification information (name, email address, etc) of a third party, for example, in the case of a 360 we may ask you to provide identification information for several people you work with who could answer questions about you. In this case you should inform (and gain consent from) these third parties that you intend to disclose their information to us.
We will keep your information for as long as necessary to complete processing for our clients. We may however destroy, delete or anonymize any information about you as we consider appropriate from time to time. We will anonymize your assessment data on a request from our client that originally ordered the assessment after 24 months at our option.
You have the right to see the personal information we hold about you. You may request us to make any necessary changes to your information to ensure that it is accurate and up to date. This does not however apply to your assessment responses and additional data.
